New role combining classic office management with HR responsibilities
In this newly established position you will lead a team of five dedicated receptionists celebrated for their remarkable service to both employees and guests. Beyond reception, your role will include overseeing and managing service agreements related to our canteen and cleaning providers, ensuring a smooth and high-quality office experience across locations.
You will be part of the Operational HR department, within the newly formed KIRKBI Business Services. You will report to the Head of HR Operations and contribute to administrative HR tasks, such as managing benefits, supporting travel and events, and assisting with employee engagement initiatives.
Your tasks, among other things, will include:
- Set the direction for and manage reception teams in Billund and Copenhagen
- Ensure seamless day-to-day reception services and other employee-facing support deliveries
- Oversee agreements with canteen and cleaning service providers
- Coordinate various soft services across the offices, creating a well-functioning and welcoming environment
- Prioritise and manage administrative support to various departments (e.g., printing, archiving, event coordination, mail handling)
- Manage and communicate employee benefits, including company cars, gifts, travel, and events
- Contribute to a wide range of HR administrative tasks and internal communication
Experienced manager with a service-oriented and administrative mindset
We are looking for an experienced manager with an administrative mindset, who promotes engagement and ensures the well-being of a collaborative and highly skilled team. You should be comfortable interacting with a diverse range of stakeholders daily and thrive in an environment where being solution-focused and engaging in problem-solving are essential.
The ideal candidate will have a service-oriented and outgoing approach with proficient communication and interpersonal skills and the ability to build collaborative relationships. Additionally, you should be able to plan and execute tasks proactively, demonstrating a high level of accountability and attention to detail.
You can also identify with several of the following qualifications:
- Leadership profile with office management experience, ideally from a service-oriented environment
- Experience with overseeing and handling service agreements for various soft service facilities
- Relevant education and experience in applying your administrative skills
- Experience in executing and planning events
- Able to communicate effectively, both written and verbal, in Danish and English
- Proficiency in Microsoft Word and PowerPoint
